General Summary:

The Pathology Transcriptionist is responsible for accurately transcribing pathology reports and related medical documentation as dictated by the pathologist. This position requires exceptional attention to detail, strong knowledge of medical terminology, and the ability to produce timely, accurate reports while maintaining patient confidentiality and compliance with all applicable regulatory requirements. The Transcriptionist works closely with pathologists and laboratory staff to ensure pathology reports are completed efficiently, accurately, and available to support patient care. This role may also provide administrative and clerical support to the pathology department as needed.

Principal Duties & Responsibilities:

Example of Essential Duties:

  1. Transcribe pathology reports, gross descriptions, microscopic findings, consultations, addenda, and final diagnoses from physician dictation.
  2. Edit, proofread, and format pathology reports to ensure accuracy, completeness, and proper medical terminology.
  3. Review reports for grammatical, spelling, and formatting errors prior to physician sign-off.
  4. Communicate with pathologists regarding incomplete, unclear, or conflicting dictation to ensure report accuracy.
  5. Enter pathology reports and supporting documentation into the laboratory information system (LIS) and electronic medical record (EMR) as needed.
  6. Assist with report amendments, corrections, and addenda in accordance with department policies.
  7. Track and prioritize pending reports to ensure timely turnaround times.
  8. Maintain a high level of confidentiality and compliance with HIPAA and all applicable regulatory requirements.
  9. Organize and maintain pathology records and documentation.
  10. Assist with preparing reports for distribution to referring physicians and healthcare providers.
  11. Support quality assurance initiatives by identifying transcription discrepancies and reporting concerns.
  12. Maintain proficiency in pathology terminology, anatomy, histology, laboratory procedures, and applicable software systems.
  13. Collaborate with pathologists, laboratory personnel, and administrative staff to support efficient workflow.
  14. Participate in department meetings, training, and continuing education activities.
  15. Performs other job-related duties as assigned by management to support departmental and operational needs

Knowledge, Skills & Abilities:

Required:

  • Knowledge of medical terminology, anatomy, and pathology terminology.
  • Excellent typing, transcription, proofreading, and editing skills.
  • Strong attention to detail and accuracy in documentation.
  • Proficiency with Microsoft Office, electronic medical records (EMR), and laboratory information systems (LIS).
  • Ability to maintain patient confidentiality and comply with HIPAA requirements.
  • Strong communication skills and ability to collaborate with pathologists, laboratory staff, and administrative personnel.
  • Ability to work independently and manage multiple priorities while meeting deadlines.
  • Ability to identify and resolve transcription discrepancies through appropriate follow-up.
  • Ability to learn new software, technologies, and departmental procedures.

Education:

  • High School Diploma or equivalent required.

Preferred:

  • 1-2 years of medical transcription experience.
  • Previous pathology, laboratory, or healthcare transcription experience preferred.
