The Toledo Clinic's Dermatology Department (Nahhas Dermatology) is seeking a full-time Receptionist/Administrative Assistant to provide front office support in a busy medical office. This position will be scheduled Monday - Thursday (7:00am - 4:30pm). Previous experience in a medical office, preferably Dermatology, is preferred.
General Summary
Provides friendly, professional support to patients while managing scheduling, phones, check in/check out, and general administrative duties. Assists with skincare product sales and maintains an organized, welcoming office environment.
Works under the supervision of the Office Manager.
Essential Duties & Responsibilities
- Consistently arrives at work on time and adheres to regular work schedule.
- Greet patients warmly and professionally and creates a welcoming experience.
- Checks patients in and out accurately and efficiently.
- Answer incoming calls, route messages, and assist with general patient questions.
- Schedule, confirm, reschedule, and cancel medical and cosmetic appointments.
- Verify patient demographic and insurance information.
- Collect copays, balances, cosmetic payments, and other patient payments.
- Maintain patient confidentiality and follow HIPAA requirements.
- Assist patients with forms, portal access, and general practice information.
- Communicate professionally with patients both in person and by phone.
- Serve as a knowledgeable resource for the practice's professional skincare products.
- Proactively engage patients regarding skincare products and current promotions.
- Assists the Office Manager and Providers with day-to-day administrative needs.
- Scan, upload, organize, and maintain patient documents and records.
- Monitor incoming faxes, correspondence, and administrative requests.
- Maintain an organized and professional reception and waiting area.
- Assist with office and retail supply inventory.
- Perform additional clerical and administrative duties as needed.
- Work collaboratively with clinical staff to maintain efficient patient flow.
