Advertised Position Title:

Administrative Assistant, Workforce and Community Services

Job Description:

Provides confidential administrative support and assistance to the Executive Director and Directors of the Center for Workforce Training. This position's anticipated start date is July 1st, 2026.

Essential Functions:

  • Maintains schedules for department meetings and events according to established guidelines

  • Manages and creates correspondence forms, reports and databases etc.

  • Manages communication and exchange of information as appropriate and takes messages for the department

  • Maintains files and records as needed for the Center for Workforce Training

  • Assists Contract Training with the purchase of training supplies and filing of proposals and training plans

  • Enters purchase orders and coordinates travel for the Executive Director

  • Assists Executive Director with preparation of Board reports and other reporting

  • Provides fill-in assistance within department as necessary

Knowledge, Skills, and Abilities:

  • Office machine operation, Computer skills including Microsoft office programs, organizational skills, minute-taking ability

  • Interpersonal skills- excellent spelling and grammar, written and verbal communication skills

  • Ability to organize facts and materials for presentations. Capability to make quick decisions under pressure. Ability to manage several projects at once. Ability to communicate effectively with co-workers and customers. Ability to work supervised and unsupervised. Ability to maintain confidentiality.

Minimum Education/Experience:

  • High school diploma or equivalent (GED)

  • 1-2 years secretarial or administrative assistant experience, 1 year of computer experience
