The Dental Clinic Manager is a key leadership role responsible for the efficient daily operations of the Reception and Dispensary areas within the Owens Community College Dental Hygiene Clinic. This role also provides administrative, logistical, and clerical support to all Owens dental programs and plays a vital part in supporting accreditation, training, and patient services.
Essential Functions:
Assure the operational needs of the Dental Hygiene Program are met within the confines of the Clinic
Manage and oversee the reception area of the Dental Hygiene and provides information and tours to Clinic visitors
Support students by scheduling patients, performing assigned auxiliary duties related to dental office operations, and facilitating the completion of students’ patient care requirements
Schedule appointments and confirms appointments the day or two before
Collect fees and maintain bookkeeping system, which involves collecting cash, printing computer generated insurance forms, developing annual clinic finance statements as needed
Arrange for the deposits to be picked up by Security
Maintain computerized patient data system and patient maintenance system in accordance with Accreditation standards and college protocol
Sets the appointment software for the student providers based on the schedule prepared by the faculty. This includes user I.D.s and passwords. Manage user I.D.s for Radiology Software for the faculty, adjunct faculty, and students. Work with IT and the Chair when access issues arise
Maintain inventory of supplies, prepares purchase orders and places orders as needed, ensuring enough equipment is on hand to maintain clinic operations
Monitor clinical budget
Train students in the use of the dental software programs and assists with any related challenges or software updates
Manage all aspects of student worker employment including interviewing, hiring, training, coaching
Assist in the training of new staff and students, and partners with departmental leadership to create training collateral (videos, manuals, etc.)
Negotiate the price of equipment and supplies with vendors
Support with all aspects of patient referrals
Generate student progress reports from the Dentrix computerized system
Coordinate maintenance of the Dental Hygiene Complex equipment by notifying maintenance of physical environment irregularities
Prepare clinic forms for the clinic as needed
File student grade forms and patient maintenance forms in the student files
Reconcile payment records with the Business Office and completes receipts/ledger entries. Insures money is appropriately deposited into the Dental Hygiene clinic accounts
Complete training required by the College to maintain access to labs, secure storage and other facilities to effectively complete responsibilities
Provide quality assurance and statistical reports as needed
Maintain and manages an organized storage area
Maintain the following: Clinic supplies, instructional area forms, dispensary storage as needed, instrument storage for students
Provide administrative and secretarial support to all Dental Programs and Clinical Coordinator including:
Greet visitors, answers phone and checks e-mail, mailbox and voice mail
Respond to inquiries in a timely manner or refers individuals to appropriate person/department, demonstrating customer-focused orientation and service
Compose and prepare routine correspondence, form letters, requisitions, lists and tables. Proofread all work for errors
Distribute correspondence or other printed materials
Organize and maintain file system. File correspondence and other records
Operate office machines as required and instruct others in the operation of such machines
Screen mail, routes according to content and fills requests for standard materials, such as reprints and publications
Perform other duties as assigned
Knowledge, Skills, and Abilities
Knowledge of appointment scheduling, filing, phone skills, Microsoft office and Workday usage.
Typing skills, manual collating, verbal communication skills, message taking skills, written communication skills, appointment management, ordering and storing of supplies.
Ability to organize facts, electronic patient charts and forms, student clinic files. Capability to make quick decisions under pressure, ability to manage several projects at once, ability to recognize strengths and weaknesses in subordinates.
Professionalism, good customer service skills, great attention to detail.
Minimum Qualifications:
High School Diploma or equivalent (G.E.D.)
Typing, phone answering skills, message taking skills, filing skills, lifting and storage of supplies, ordering supplies, use of Microsoft office.
