Job Description:

Ohio's Aspire programs (formerly known as ABLE) provide free services for adult individuals who need assistance acquiring the skills to be successful in post-secondary education and training, and employment. Local programs offer classes at various locations, and on different days and times to meet the diverse needs of students. Owens Aspire services, based out of the College and Career Readiness Center, include Adult Basic Education/High School Equivalency (formerly GED), English for Speakers of Other Languages (ESOL), and College Preparation Classes (CPC). Classes are located throughout the metro-Toledo area and at all campus locations, including Findlay.

Essential Functions:

  • Support Services orders all instructional program materials and supplies.

  • Maintains current classroom and program inventories and performs related duties for directly assisting students.

  • Assists supervisor with scheduling of Specialists, Instructors, and office Workers.

  • Processes and maintains record of hourly personnel as directed by supervisor.

  • Assists with professional development events, and other committee meetings.

  • Support Services: Assists with instructional updates, and all other direct student participation. Coordinates, schedules and participates in orientation activities, oversees programming of graduation ceremony.

  • Collects, maintains, and enters program student documentation, answers phone, makes class reminder calls, maintains social media/web presence/e-mail, and provides customer service to sites/students and office coverage.

  • Classroom staffing as needed.

  • Performs data tracking for program and enters State LACES data as necessary to ensure data reporting deadlines are met.

  • Assists with preparing mandatory reports for grant compliance.

  • All other Support Services duties as assigned.

Knowledge, Skills, and Abilities:

  • Proficiency with MS Office, especially Excel and computers in general; strong data entry skills.

  • Excellent written and verbal communication skills; strong organizational skills.

  • Event Programming.

  • Ability to provide professional customer service. A plus if familiar with LACES.

  • Ability to navigate complex Microsoft Teams functions independently and without consistent guidance.

  • Skill in video conferencing: Zoom, Teams, WebEx, etc.

  • Ability to manage several projects at once.

  • Ability to work independently and maintain professionalism and confidentiality.

  • Strong decision-making skills Ability to work with a diverse population (students, instructors, community, parents, etc.).

  • Conflict resolution and de-escalation tactics sensitive to trauma-based care and culturally responsive intervention.

  • Dependable transportation and comfort level with frequently driving to all instruction locations including Urban Toledo and Rural Findlay.

  • Ability to maintain professionalism when working in a challenging environment.

  • Work with little to no supervision.

  • Knowledge of state Aspire practice and policy a plus.

  • Ability to multitask and remain calm and professional even when duties may seem ambiguous and require independent decision making in-line with policy and procedure without direct instruction.

Minimum Requirements:

  • High School Diploma or equivalent (G.E.D.)

  • Coursework or professional development in IT is preferred due to high-level data-entry spreadsheet development and the need to independently navigate complex computer programs with little to no training.

  • Customer service and/or office experience (minimum one year). Familiarity with Aspire program is beneficial.

  • Experience in Adult Education settings.

  • Experience working in fast paced environment accountable to state policy.

  • Experience working with diverse populations from large urban environments to small rural communities.

  • Experience with maintaining and entering large amounts of data in a time-sensitive manner with minimal errors.
