Job Description:

Essential Functions:

Operational Tasks

1. Assures the operational needs of the Dental Hygiene Program are met within the confines of the Clinic.

2. Orders and maintains inventory of all clinic supplies, instruments, and minor equipment. Works with salesmen (or catalogs) to obtain the best possible price on needed supplies and prepares purchase orders.

3.Stocks the dispensary as needed.

4. Returns phone calls in a timely manner.

Schedule & Clinic Finance Management

1. Schedules appointments and confirms appointments the day or two before. 2. Electronic records are properly maintained and updated.

3. Responsible for collecting fees and maintaining bookkeeping system, which involves collecting cash, printing computer generated insurance forms, developing annual clinic finance statements as needed.

4. Arranges for the deposits to be picked up by Security.

5. Maintains computerized patient data system and patient maintenance system in accordance with Accreditation standards and college protocol.

6. Each semester sets the appointment software for the student providers based on the schedule prepared by the faculty. This includes user I.D.s and passwords. Manages user I.D.s for Radiology Software for the faculty, adjunct faculty, and students. Works with IT and the Chair when access issues arise.

7. Follows HIPAA protocols.

Dispensary & Clinic Management

1. Maintains the following: Clinic supplies, instructional area forms, dispensary storage as needed, instrument storage for students.

Other duties:

1. Trains the student worker on the duties/tasks needed.

2. Maintains the order and cleanliness of the patient reception room.

Student Success

1. Generates student progress reports from the Dentrix computerized system. 2. Prepares clinic forms for the clinic as needed.

3. Files student grade forms and patient maintenance forms in the student files.

Knowledge, Skills, and Abilities

  • Knowledge of dental/dental hygiene procedures, appointment scheduling, filing, phone skills, Microsoft office and Banner usage. Knowledge of dental management software.

  • Typing skills, manual collating, verbal communication skills, message taking skills, written communication skills, appointment management, ordering and storing of supplies.

  • Ability to organize facts, electronic patient charts and forms, student clinic files. Capability to make quick decisions under pressure, ability to manage several projects at once, ability to recognize strengths and weaknesses in subordinates.

  • Professionalism, good customer service skills, great attention to detail.

Minimum level of Education/Experience

  • High School Diploma or equivalent (G.E.D.)

  • Typing, phone answering skills, message taking skills, filing skills, lifting and storage of supplies, ordering supplies, use of Microsoft office.
