SUMMARY

The Executive Administrator will provide confidential administrative support to the President/CEO, Executive Leadership Team, and Board of Directors. This role will foster an environment that produces exceptional member service in accordance with MCCU’s Passion Statement. This role will be responsible for overseeing the administrative operations of the credit union including facilities management to ensure the efficient operation of our offices.

ESSENTIAL DUTIES

Responsibilities and duties related to this function include:

  • Provide high-level administrative support to President/CEO, Board of Directors, and other executives as assigned
  • Maintain all credit union facilities, including contracts for cleaning, maintenance, and grounds services
  • Coordinate building renovation and new construction projects
  • Support the Board of Directors by preparing board reports and packages and ensuring compliance with policies and training programs
  • Maintain board approved policies, ensuring regulatory compliance
  • Schedule appointments, meetings, and travel arrangements for board members and executive leaders
  • Attend board meetings, take notes and record minutes
  • Prepare and distribute internal communications, memos, and reports to internal stakeholders, the MCCU board and vendors
  • Provide general administrative support to the executive leadership team
  • Oversee the management of office operations including the Michael Newman Community Room, MCCU supply orders, postage, and other general office operations
  • Perform other related duties as assigned

ENVIRONMENT AND PHYSICAL ACTIVITY

The incumbent is in a non-confined office type setting in which he or she is free to move about at will. The position includes driving to MCCU branches which includes exposure to the outside weather elements and moving mechanical parts. It may include some minor annoyances such as noise, odors, drafts, etc.

While performing this position, the incumbent spends time writing, typing, speaking, listening, lifting (up to 50 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling, and reaching.

The incumbent for this position may operate any or all of the following: telephone, cell phone, copy machines, calculator, scanning equipment, computer, related printers, or other equipment as directed.

MENTAL DEMANDS

The incumbent in this position must be able to accommodate to reading documents or instruments, detailed work, problem solving, member and vendor contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks, and constant interruptions.

The incumbent in this position must have a strong attention to detail and accuracy, as they are responsible for processing and maintaining accurate payroll records. They must also have good analytical skills to review and reconcile payroll data, as well as problem-solving skills to address any discrepancies or issues that may arise.

Additionally, they should have excellent organizational and time management skills to handle multiple tasks and meet deadlines. They should be able to work independently and efficiently, while also being able to collaborate and communicate effectively with other team members, such as the HR and finance departments.

Qualifications

MINIMUM REQUIREMENTS

• 5+ years of experience in administrative or executive support role
• High school diploma
• A two-year college degree, or completion of a specialized certification in related field is preferred
• Proficiency in Microsoft Office Suite software (e.g. word, Excel, PowerPoint)
• Strong attention to detail and accuracy in data entry and record-keeping
• Ability to prioritize tasks and meet deadlines in a fast-paced environment
• Strong communication and interpersonal skills
• Work involves a high degree of confidentiality and discretion, requiring diplomacy and tact in communication
• Excellent organizational and time management skills with a proven ability to meet deadlines
• Ability to work with minimal supervision while performing duties
