Job Summary for Fleet Lease Outside Coordinator:

The Fleet Lease Outside Coordinator serves as a key liaison between the fleet lease department, internal teams, and external customers by supporting the coordination, preparation, and execution of fleet vehicles throughout the auction process. This role is primarily field-based and focuses on vehicle logistics, data accuracy, sale-day readiness, and customer communication. The Fleet Lease Outside Coordinator plays an essential role in ensuring vehicles are properly documented, eligible for sale, and prepared according to auction standards while delivering responsive, customer-focused service in a fast-paced, outdoor auction environment.

Responsibilities for Fleet Lease Outside Coordinator:

  • Assists with the coordination and execution of fleet lease sale-day activities.
  • Inputs, updates, and maintains accurate vehicle and pricing information in auction systems and databases.
  • Establishes, verifies, and maintains vehicle files, including eligibility and sale documentation.
  • Coordinates with the title department to ensure titles and required documents are received and approved prior to auction.
  • Reviews inventory and vehicle reports to identify discrepancies, investigate errors, and verify sale readiness.
  • Partners with internal departments to prepare vehicles and notify customers of sale run processes and timelines.
  • Follows up on vehicle preparation, billing reconciliation, and missing information to ensure smooth auction operations.
  • Communicates professionally with customers, vendors, and internal teams regarding vehicle status and requirements.
  • Maintains accurate records and documentation in accordance with company policies.
  • Performs other duties as assigned.
Requirements

Required Skills/Abilities:

  • Proficiency with computers and data entry systems.

Education and Experience:

  • High school diploma or equivalent required.
  • Some light mechanical knowledge/experience is helpful.
  • Prior experience in auction operations, fleet services, logistics, or customer service preferred.
  • Experience working in outdoor or field-based roles preferred.
  • Valid driver’s license with a satisfactory driving record required.
  • Must be at least 18 years of age.

Physical Requirements:

  • Ability to stand, walk, and move throughout auction lots for extended periods of time.
  • Ability to work outdoors in varying weather conditions.
  • Ability to bend, reach, climb, and navigate around vehicles safely.
  • Ability to communicate effectively in person and by phone.
  • Ability to lift up to 50lbs if necessary.
